What collects.io reads from your Xero, and what happens when you sign up

What we access, and why
- Read-only access to Xero: We read your customers (contacts), sales invoices, payments and credit notes, with 24 months of history. We cannot create, change or delete anything in your Xero.
- Why we need it: To find why each invoice is unpaid, to build your starting point and cash forecast, and — on Collect — to know what to send, when, and to whom.
- You choose the organisation: When you connect, Xero asks you which organisation to share. collects.io connects one Xero organisation per account. You can disconnect in Xero at any time.
- Emails go from your own mailbox: On Collect, emails to your customers are sent from your own mailbox, and you see every conversation. Nothing is sent on Visibility.
- You set the guardrails: Sending limits, no emails at weekends (or on UK bank holidays if you switch this on), pauses for any customer or invoice, and escalation reviews at day 14, 60 and 90. The day-90 formal notice waits for an owner or admin to approve it.
- Where your data is held: Your ledger is stored and our AI runs in the UK, in the AWS London region (eu-west-2). A few supporting services, such as background job processing and error monitoring, process some data outside the UK under standard contractual safeguards. - Card details: Your card is set up securely with Stripe. This website never asks for card details, bank details or your Xero log-in.
What happens when you sign up
Two points confuse people, so here is what to expect at each step.
- Sign up: Enter your work email on our sign-up page. You accept our terms on this screen. Next: we email you an invitation.
- Invitation email: Open the invitation email from collects.io. Not in your inbox after a few minutes? Check your junk folder.
- Set a password: From the link in the invitation. Next: you'll be sent to Xero.
- Connect Xero: You'll see Xero's own sign-in page. That is Xero confirming it's you — not a second password for us. Choose the organisation to connect and approve read-only access. We then verify your card with a £1 charge, which we refund.
- Two weeks of Visibility, free: Your dashboards build from your ledger. Nothing is sent to your customers. When your two free weeks end, Visibility continues on a 12-month plan, billed monthly, which renews automatically. Before then we write to you with the date and amount of your first charge. Switch off before that date and you pay nothing. Moving to Collect starts a new 12 months.
